AVA-TIC 2025-2 Call for Applications

Introduction to the

Call

This call is issued in accordance with the Policy for Supporting Training through Information and Communication Technologies (ICT) (Higher Agreement No. 051 of 2009) and its complementary regulations. The Policy establishes the guiding principles for supporting training via the use of ICT, and recognizes the appropriation and proper use of these technologies as a means to create opportunities that enrich the teaching, learning, and assessment processes.

Within this framework—and pursuant to Agreement 277 of 2011—the Universidad Industrial de Santander (UIS) selected the Moodle platform as its official online meeting environment to support pedagogical strategies in training activities. UIS also committed to providing the necessary technical support and trained personnel to respond to proposals generated by each of its academic and administrative units.

Beginning in 2021, the ICT Leadership Team (ELTIC) added to its ICT portfolio a dedicated funding opportunity aimed at promoting the involvement of students in supporting the transformation of teaching strategies.

Objective of the

Call

Strengthen the design, implementation, or improvement of Virtual Learning Classrooms (AVA) on the institutional Moodle platform by assigning student assistants who contribute to the development of the initiatives proposed by the professors guiding undergraduate academic activities in UIS programs.

Scenarios

An invitation will be sent by the Academic Vice-Rectorate to the university community. The aim is for professors and students to identify with one of the following scenarios:

  1. Have an academic activity that does not yet have a Virtual Learning Classroom (AVA) in semester 2025-2, and—if it’s an annual activity—wish to create it during semester 2025-2 and implement it either in that same semester or in semester 2026-1.

2.Have a Virtual Learning Classroom (AVA) and require support to update it during semester 2025-2 and implement it in that same semester—or in semester 2026-1 if it’s an annual academic activity.

The minimum number of hours allocated per assistantship in the semester will be 100 for the first scenario and 85 for the second. In both cases, these hours must be carried out during semester 2025-2. It should be noted that, for annual academic activities, assistantship hours will only be allocated during semester 2025-2.

Requirements for the

Call

For the professor

  1. Be a member of the UIS faculty*

  2. Not have any overdue commitments with other ICT Calls led by the Academic Vice-Rectorate

For the student

  1. Be an undergraduate student at UIS.

  2. Hold active enrollment for academic semester 2025-1, without any conditional status or disciplinary sanctions.

  3. Be enrolled in at least the second level of their academic program.

  4.  Meet the institutional requirements to undertake a student assistantship for up to 120 hours during semester 2025-1

For the academic activity to be intervened

  1. The academic activity to be intervened must be part of the curriculum of an undergraduate program at UIS.

  2. The academic activity to be intervened must be scheduled for semester 2025-2.

* Includes tenured faculty, lecturers, tutors, adjunct professors at regional, special, and temporary campuses, and adjunct instructors in the common cycle.

Preparation and

Submission

An invitation will be sent by the Academic Vice-Rectorate to the university community. The goal is for professors and students to identify with one of the following scenarios:

  1. Have an academic activity that does not yet have a Virtual Learning Classroom (AVA) in semester 2025-2, and—if it is an annual activity—wish to create it during semester 2025-2 and implement it either in that same semester or in semester 2026-1.

  2. Have a Virtual Learning Classroom (AVA) and require support to update it during semester 2025-2 and implement it either in that same semester or, if it is an annual academic activity, in semester 2026-1.

Once the most appropriate scenario has been identified, professors wishing to apply must contact a student who meets the requirements to be hired under a student assistantship, and must collect the following documents:

  • Summary Curriculum Vitae of the candidate student (free format, not exceeding one page)

  •  Copy of:

    ○ Citizenship ID card,

    ○ UIS student ID card,

    ○ Polígrafo de notas del semestre 2024-2,

    ○ Class schedule for semester 2025-1,

The professor, with the support of the candidate student, must identify a list of activities to be carried out by the student assistant and describe how these activities will enable the professor to achieve the objective proposed in the application, as follows:

  • Professors who do not have an AVA and who apply to design it during semester 2025-2 and implement it in that same semester or in semester 2026-1 (if it is an annual academic activity) must specify in detail the following items in their proposal:

    • At least three (3) thematic units

    • At least three (3) Moodle-associated resources per unit (these must include various multimedia resources: videos, images, dynamic presentations, among others).

    • At least three (3) Moodle activities per unit, including various types of activities: quizzes, assignments, forums, glossaries, H5P activities, and games, among others.

  • Professors who have a Virtual Learning Classroom (AVA) and require support to enhance it during semester 2025-2—and implement it in that same semester or in semester 2026-1 if it is an annual academic activity—must meet the following requirements:

    • Present the current state of the Virtual Learning Classroom (AVA) to be intervened by providing screenshots of the AVA in editing mode, as evidence of the existing resources and activities in the virtual space directly related to the current proposal.

    • Include in your proposal the improvements to be made in terms of one of the following options:

      •  Inclusion of thematic units: at least one (1) per unit, each with at least two (2) Moodle-associated resources, including various multimedia resources—videos, images, dynamic presentations, among others—and at least two (2) Moodle activities per unit. These must include various types of activities: quizzes, assignments, forums, glossaries, H5P activities, games, among others.

      •  Inclusion of resources and activities in existing thematic units: at least four (4) additions combining resources and activities. These must include various multimedia resources—videos, images, dynamic presentations—as well as activities such as quizzes, assignments, forums, glossaries, H5P activities, games, among others.

      • Redesign of resources and activities in existing thematic units: at least two (2) resource or activity redesigns demonstrating an improvement in their quality.

To formalize the application, you must complete the form titled “Convocatoria para la creación o actualización de Aulas Virtuales de Aprendizaje en Moodle” before the deadline established in this call (see timeline).

A sample form is available to facilitate the preparation of the application in advance and to collate the student assistant support documents, which must be compiled into a single PDF file and attached to the final form. These documents are:

  • Summary Curriculum Vitae

  • Citizenship ID card

  • UIS student ID card

  • Official grade report for semester 2024-2

  • Class schedule for semester 2025-1

Assignment of

Student Assistantships

.

To allocate the number of hours for each student assistantship, the primary selection criterion in this call is the order of the lists established during application registration for each scenario, based on available resources.

Within the time allocated for the assistantship, the student must dedicate ten (10) hours to training in the role of course editor on the institutional Moodle platform. This training will be guided and certified by CEDEDUIS.

The minimum number of hours allocated per assistantship in the semester will be 100 for the first scenario and 85 for the second. In both cases, these hours must be carried out during semester 2025-2. It should be noted that, for annual academic activities, assistantship hours will only be allocated during semester 2025-2.

 The results of this call will be sent via email to each of the registered professors and students.

Proposal

The teacher must submit the following documentation as evidence of the activities carried out at the close of the call:

  1. Report on “Lessons Learned and Recommendations” regarding the work carried out.

  2. Evaluation of each student assistant using the institutional format.

  3. Teacher’s certificate of participation in the course “Políticas Universitarias: Modelo Pedagógico UIS21 – Reconociéndonos”, offered by CEDEDUIS.

  4. Student’s certificate of training in the use of the Moodle platform, issued by CEDEDUIS.

  5. Explicit credit to the Universidad Industrial de Santander must be given by the authors in all resulting deliverables.

Intellectual

Property

By participating in this call, the applicant professor acknowledges and agrees that any content disclosed via digital media does not infringe third-party intellectual property rights. If necessary, the professor must provide the corresponding authorizations and/or assignments of economic rights over the developments or products obtained in favor of the University.

In any event, the professor undertakes to hold UIS harmless against any third-party claims related to the ownership of copyright in the works derived from this call.

Without prejudice to moral rights, which will always be recognized to the authors, the ownership of economic rights arising from the creations covered by this call shall belong to UIS, by virtue of the provisions of the intellectual property laws and Articles 11 and 12 of Superior Council Agreement No. 093 of 2010 – Intellectual Property Regulations.

Consequently, as the holder of the economic rights in the works resulting from this call, UIS reserves the right to use, reproduce, adapt, publicly communicate, arrange, or otherwise transform the obtained products and, more generally, all prerogatives provided for under the applicable law.
